Business email is the least glamorous category we track and one of the most revealing. Nobody picks a mail provider on a whim, switching is painful, and the decision usually survives a decade. So when the numbers move, they mean something.

Right now they show a market split almost exactly in half. Microsoft 365 sits on 3,748,862 domains, Google Workspace on 3,631,520. That is 45.33% against 43.91%, a gap of roughly 117,000 domains in a category holding 8.27 million. Apple iCloud Mail is third on 4.2%, and it is a consumer product that happens to appear on small business domains rather than a competitor with a sales motion.

The static picture flatters Google

A 1.4 point gap reads like a close race. The churn does not.

Because a domain publishes one set of mail exchange records, this category cannot multi-home. A domain is either on Google or on Microsoft. That makes our switching data unusually trustworthy here, since there is no way to confuse a replacement with an addition, which is the trap that ruins migration analysis in stackable categories.

On that clean measure, we watched 4,371 domains leave Google Workspace for Microsoft 365 and 2,109 come back the other way. Microsoft takes about two for every one it surrenders. Extended across a category this size, a 2:1 exchange rate is the kind of thing that flips a ranking, and Google is already second.

A 1.4 point deficit is a photo finish. A 2:1 loss rate on every domain that moves is a trend. The second number tells you where the first one is heading.

The explanation is probably not email at all. Microsoft sells 365 as a bundle where mail arrives alongside Teams, Office and identity, and the bundle is what wins the procurement conversation. Our own data hints at this from the security side: on the Mimecast profile we found that domains dropping a third-party email security gateway overwhelmingly land on Microsoft's native stack rather than on a rival gateway. Microsoft keeps absorbing adjacent categories, and mail is the anchor tenant.

Where Google is winning

Two inbound corridors are worth naming.

Yandex Mail sent 729 domains to Google Workspace and took back 39. That is nearly one-way traffic, and it is the clearest technographic fingerprint of businesses moving off Russian infrastructure that we have in the corpus. It shows up in mail records before it shows up anywhere else, because mail is the first thing you move and the hardest thing to fake.

The second is quieter. Proton Mail gained 371 domains from Google and returned 45. The absolute numbers are tiny against 3.6 million, but the ratio is eight to one, and it is the only consistent leak in Google's book that is not Microsoft. Privacy-positioned mail is taking a real, if narrow, slice.

Who actually uses it

The customer profile is smaller than the brand names suggest. 70.51% of Google Workspace domains belong to companies with ten staff or fewer, and 91.73% to companies with fifty or fewer. Under 2% employ more than 200. Uber, Airbnb, Upwork, Randstad, Burger King and G4S are all in our list, and they are outliers.

The industry mix has no winner, which is what horizontal infrastructure looks like. Advertising Services leads on 4.54%, then business consulting on 3.81% and IT services on 3.67%, and nothing else clears 3.5%. The lean toward agencies and consultancies is the one signal in it: project-based firms with light IT and no Windows estate to defend, which is precisely the segment that chooses Google when there is no incumbent to displace. The corollary is uncomfortable for Google. Those firms are also the least likely to ever buy the wider bundle Microsoft is selling.

Geography is broader than most business software we measure. The United States is 43.39% of enriched domains, then the United Kingdom on 7.78%, India 6.11%, Canada 4.97%, Australia 4.21% and Brazil 4.09%. A product sold self-serve on a credit card spreads differently from one sold by country sales teams, and this is what that difference looks like in the data.

Two things to keep in mind when using this page

First, our detection history for Google Workspace starts in June 2026, because this technology is new to our crawler. The chart has three points and the rise across them is mostly our coverage expanding rather than adoption accelerating. We publish it that way at TechnologyChecker.io rather than back-filling a curve we did not measure.

A detection count can be trustworthy and its trend line still meaningless. Three months of a new crawl tells you where the market is, not where it is going.

Second, a detection is a statement about a domain, not about a company. Large groups run many domains and route them differently, so a parent can appear on Google under one domain and Microsoft under another. For prospecting that is a feature, since the domain is the unit you can actually act on, but it means the count should never be read as a headcount of organisations.

My summary: Google Workspace is a strong second in a duopoly, with an exceptionally clean dataset behind it because MX records do not lie. The share number is close enough to look like parity. The exchange rate with Microsoft says it is not.

A note on what this dataset can and cannot support

Because MX records are public and unambiguous, this is one of the few categories where I would defend a share figure to a decimal place. There is no rendering to fail, no script to block, no consent banner to sit behind. Either the domain points its mail at Google or it does not.

What the data cannot tell you is seat count. A two-person consultancy and a two-thousand-person retailer each contribute exactly one domain, so our 43.91% is a share of domains and not a share of mailboxes or revenue. Microsoft's advantage among large enterprises means its revenue share is almost certainly wider than its domain share, and anyone quoting this page in a commercial context should say which one they mean. We would rather publish a precise number with a stated unit than a vague one that flatters the story.

Yandex Mail is the clearest one. It sent 729 domains to Google Workspace and took back only 39, a near one-way move off Russian mail infrastructure. Apple iCloud Mail contributed another 278. Against those gains, Microsoft 365 remains a heavy net drain on Google's side of the ledger. Titan Email sent a further 114 domains across during the same window.
